Automatically collect prospect data with Jim

Lead collection by Jim allows you to automatically gather prospect data and update your CRM without any manual effort.

How Does Lead Collection Work?

  1. Your prospect contacts you via WhatsApp, Messenger, Instagram, or SMS;

  2. Jim detects an intent that automatically triggers lead collection;

  3. Jim gathers the necessary information directly from the conversation;

  4. Once the lead is collected:

    1. You receive a notification on Partoo and by email,

    2. The lead’s information is available on Partoo,

    3. If a CRM is connected, the lead is automatically sent to it,

    4. No CRM yet? You can export all collected leads to an Excel file.

How to Set Up Lead Collection?

  1. Go to your Messages settings in your Partoo account;

  2. In the "Automations" section, click on "Jim - AI Chatbot";

  3. Select the chatbot where you want to enable lead collection;

  4. Once in the chatbot settings, scroll down and enable lead collection by clicking the toggle (it will turn green).

Now, follow these steps to configure it:

1. Define Triggers

You can specify when Jim should collect information and generate leads.

  • In the "Lead collection is triggered when..." section, select one or more triggers from the suggested list.

  • You can also create custom triggers by entering your instruction directly in the provided field and clicking "Create".

💡A trigger can be an intent, such as "the user requests a quote" or "the user wants to schedule an in-store or online appointment", a keyword, such as "the user mentions the word 'order'", etc.

2. Select the Data to Collect

Once triggers are set, select the information Jim should collect (e.g., name, phone number, email, specific requirements).

  • In the "Collected data" section, predefined fields such as "Your Name", "Your email", and "Your phone number" are available by default.

  • To add a new type of data:

    1. Click "Add a field", then select the field type;

    2. Enter the "Field label" in the appropriate field;

    3. Optionally, add a "Field description" to help the AI understand its purpose;

    4. Click "Add".

  • To delete a field, click on the trash icon.

  • To rearrange the order of collected data, click on the dots next to the field and drag it to the desired position.

💡 Available field types: Text, Number, Email Address, Phone Number, Yes/No Question, and Opt-in.

💡 All fields are mandatory.

3. Customize the Thank-You Message

In the "Your Message" field, you can either keep the default message or customize it as needed.
This message will be automatically sent to your prospect once all the required information has been collected.

4. Set Up Lead Export and Integration

There are three ways to manage your leads:

  • Receive Leads by Email

In the "How to leverage your leads" section, enter an email address in the designated field.

  • Automatically Send Leads to Your CRM

Connect lead collection to your CRM so that each lead is automatically transmitted.
👉 Contact your account manager to enable this option.

💡 Lead collection integrates with any CRM via a webhook.

  • Export Leads to an Excel File

Go to your Partoo inbox by clicking on the "Messages" icon (represented by two speech bubbles), then click "Export my leads".

5. Activate Lead Collection

Click "Save", then enable lead collection by clicking the toggle (if not already activated, it will turn green).

Jim is now ready to automatically collect leads from your conversations! 🙌

How to Track My Leads on Partoo?

To monitor your leads in Partoo:

  1. Go to your Partoo inbox by clicking the "Messages" icon (represented by two speech bubbles).

  2. Click on "All" to open the filter dropdown menu.

  3. Select "Leads" to display only conversations containing leads.

  4. Click on each conversation to view the collected information.
